Doxo Digital

## 1. Introduction
Doxo Digital ("Doxo Digital," "we," "us," or "our") provides website design, development, hosting, maintenance, and related digital services to small businesses, primarily in Alberta and across Canada. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have.
This policy applies to information collected through our website [Doxo Digital Website URL], through email or phone communications, and through our provision of services to clients. It does not apply to websites we build for clients unless otherwise stated (see Section 10).
## 2. Information We May Collect
Depending on how you interact with us, we may collect:
- Contact information: name, email address, phone number, business name
- Business information: industry, business goals, project details you share with us
- Communications: messages sent via contact forms, email, or phone, including their content
- Payment-related information: billing name/address and payment confirmation (we do not directly store full credit card numbers — see Section 6)
- Technical information: IP address, browser type, device type, general location (city/region level), and similar data collected automatically
- Cookies and analytics data: as described in Section 8
- Content you provide for your project: logos, images, text, and other materials you supply for your website
## 3. How We Collect Information
We collect information:
- Directly from you, when you fill out a contact or quote request form, email us, call us, or sign a service agreement
- Automatically, through cookies and analytics tools when you visit our website
- From third-party tools we use to run our business (e.g., form providers, email providers, payment processors)
## 4. Why We Collect Information
We collect personal information for purposes such as:
- Responding to inquiries and providing quotes
- Creating and delivering website design/development, hosting, maintenance, and SEO services
- Setting up and processing payments
- Communicating about your project or account
- Improving our website and services
- Complying with legal or accounting obligations
We do not sell personal information to third parties.
## 5. How We Use Information
We use the information collected only for the purposes described above, or for a closely related purpose. If we want to use your information for something materially different (e.g., marketing you did not sign up for), we will ask for your consent first, in line with Canada's Anti-Spam Legislation (CASL) where applicable.
## 6. How Information Is Stored and Protected
We take reasonable steps to protect personal information using measures such as password protection, limited access, and reputable third-party service providers with their own security practices. However, no method of storage or transmission over the internet is 100% secure, and we cannot guarantee absolute security.
We do not store full payment card numbers ourselves; payments are processed through third-party payment processors (see Section 7).
## 7. Sharing Information with Third Parties
We may share personal information with trusted third-party service providers who help us run our business, such as:
- Website hosting providers (to host our website and, where applicable, client websites)
- Payment processors (e.g., Stripe, PayPal, or similar) to process payments
- Form and email providers (e.g., contact form tools, email marketing/communication tools)
- Analytics providers (e.g., Google Analytics) to understand website traffic
- Accounting/bookkeeping software, if used for invoicing
These providers may store or process data outside of Alberta or Canada (for example, in the United States), depending on where their servers are located. By using our services, you acknowledge that your information may be processed in other jurisdictions, which may have different privacy laws than Canada.
We do not share personal information with third parties for their own independent marketing purposes without your consent.
## 8. Cookies and Analytics
Our website may use cookies and similar technologies to:
- Remember basic preferences
- Understand how visitors use our site (via analytics tools)
You can usually disable cookies through your browser settings, though this may affect how our website functions. We may use tools such as Google Analytics, which has its own privacy practices — see Section 12.
## 9. How Long We Keep Information
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including:
- Ongoing client relationships and active projects
- Legal, tax, or accounting recordkeeping requirements (generally up to [X years, e.g., 7 years] for financial records, per standard Canadian recordkeeping practices)
- Resolving disputes or enforcing agreements
Inquiry/contact form submissions that do not result in a client relationship may be deleted after a reasonable period (e.g., 12 months) unless you ask us to retain them longer.
## 10. Client Websites and Information Submitted Through Them
If we build or maintain a website for a client that collects personal information from its own visitors (e.g., through contact forms on a client's site), that data belongs to the client, not to Doxo Digital. The client is responsible for having their own privacy policy and for complying with applicable privacy laws regarding their own website visitors' data.
Doxo Digital may have technical access to such data (e.g., through website hosting or form back-ends) solely to provide maintenance and support services, and will not use that data for our own purposes without the client's permission.
## 11. Your Rights
Depending on applicable law, you may have the right to:
- Ask what personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete personal information we hold, subject to legal or contractual retention requirements
- Withdraw consent for certain uses (e.g., marketing emails)
To make a request, contact us using the details in Section 14. We will respond within a reasonable time. We may need to verify your identity before fulfilling certain requests.
## 12. Canadian Privacy Law Context
Doxo Digital is based in Alberta and primarily serves Canadian clients. Alberta's Personal Information Protection Act (PIPA) generally applies to private-sector organizations, like ours, that collect, use, or disclose personal information in the course of commercial activity within Alberta. Depending on the nature of specific activities (for example, handling personal information across provincial lines), the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also be relevant.
We aim to handle personal information consistent with the general principles found in these laws (such as collecting only what's needed, using it for stated purposes, and allowing reasonable access/correction requests). However, this policy does not constitute a legal determination that Doxo Digital is fully compliant with any specific statute, and privacy law requirements can be fact-specific. If you have concerns about how a specific law applies to your information, we recommend seeking independent legal advice, and we are happy to answer general questions.
If you use our website's contact forms, you may also receive occasional emails from us; where required, we will seek your consent in accordance with CASL before sending promotional emails, and you may unsubscribe at any time.
## 13. Third-Party Links
Our website may contain links to third-party websites or tools (e.g., social media, payment processors, scheduling tools). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies separately.
## 14. Contact Us
If you have questions about this Privacy Policy or want to make a request regarding your personal information, contact:

Doxo Digital
Effective Date: [Effective Date]
This policy outlines how payments, deposits, cancellations, and refunds work for services provided by Doxo Digital. It applies alongside your signed Web Design & Digital Services Agreement. If there is a conflict between this policy and your signed agreement, the signed agreement controls for your specific project.
## 1. Overview of Services and Charges
Doxo Digital may charge for services including but not limited to:
- One-time website design/development fees
- Website redesigns
- Domain registration/transfer assistance
- Website hosting (monthly or annual)
- Monthly website maintenance
- SEO services
- Other digital services as agreed in writing
## 2. When Payment Is Due
- Project-based work (e.g., new website builds): typically requires a non-refundable deposit before work begins, with the balance due upon completion or according to a milestone schedule outlined in your agreement.
- Recurring services (hosting, maintenance, SEO): billed monthly or annually in advance, due on the date specified in your agreement or invoice.
- Domain registration/renewal: due before Doxo Digital purchases or renews the domain on your behalf.
Specific amounts and due dates will be set out in your project quote, invoice, or signed agreement.
## 3. Deposits
- Deposits paid to begin a project are non-refundable, except where Doxo Digital fails to begin work within a reasonable time after receiving the deposit and after being paid, or as otherwise required by law.
- Deposits reserve project time and cover initial planning, design setup, and administrative work, regardless of whether the project is later cancelled.
## 4. Client Cancellation After Work Has Started
If a client cancels a project after work has begun:
- Any deposit paid is non-refundable.
- The client is responsible for paying for work completed up to the point of cancellation, calculated based on hours worked, milestones completed, or a reasonable percentage of the total project fee, as determined in good faith by Doxo Digital.
- Any prepaid but unused portion of the project fee beyond work actually completed may be refunded at Doxo Digital's discretion, minus any non-refundable third-party costs already incurred (see Section 9).
## 5. If Doxo Digital Has Already Completed the Work
If the agreed work has been fully completed and delivered (e.g., a finished website has been handed over or published), no refund will be issued for that completed work, even if the client later decides not to use the website.
## 6. Cancellation of Monthly/Recurring Services
- Clients may cancel monthly hosting, maintenance, or SEO services at any time by providing written notice (email is acceptable) at least [Notice Period, e.g., 14 or 30] days before the next billing date.
- Recurring fees are billed in advance and are non-refundable for the current billing period once charged, even if the client cancels partway through that period.
- No partial refunds are issued for unused days within a billing cycle unless required by law or agreed to in writing by Doxo Digital.
## 7. Non-Payment
If a client fails to pay an invoice by its due date:
- Doxo Digital may charge a late fee of [e.g., $25 or 2% per month] on overdue balances, where permitted by law.
- Doxo Digital may pause work, suspend hosting/website availability, or remove a website from public access until payment is received, after providing reasonable written notice.
- If payment remains outstanding for more than [e.g., 30 days], Doxo Digital may terminate services entirely, and any amounts owed remain payable.
- Doxo Digital is not responsible for any loss of business, traffic, or data resulting from suspension due to non-payment.
## 8. Domain and Hosting Fees
- Domain registration and renewal fees are generally non-refundable once paid, as these are third-party costs paid to registrars.
- If a client's domain or hosting lapses due to non-payment, Doxo Digital is not responsible for any resulting downtime, loss of the domain to another party, or related consequences.
- Clients are encouraged to confirm who is responsible for renewing domains under their agreement.
## 9. Non-Refundable Third-Party Costs
Certain costs paid by Doxo Digital to third parties on a client's behalf are non-refundable, including but not limited to:
- Domain registration/renewal fees
- Premium plugin, theme, or software licences
- Stock photo/image licensing fees
- Third-party app or platform subscription fees
If a project is cancelled after such costs have been incurred, the client remains responsible for reimbursing them.
## 10. How Refunds Are Processed
Where a refund is approved:
- It will be issued using the same payment method used for the original payment, where possible.
- Processing may take [e.g., 5–10 business days], depending on the payment processor.
- Any payment processor fees already incurred by Doxo Digital may be deducted from the refunded amount.
## 11. Chargebacks and Disputed Payments
If a client initiates a chargeback or payment dispute without first contacting Doxo Digital to resolve the issue, Doxo Digital reserves the right to:
- Suspend services immediately
- Provide documentation of work completed and communications to the payment processor
- Pursue the balance owed through other lawful means
We encourage clients to contact us directly first at [Doxo Digital Email] to resolve any billing concerns before disputing a charge.
## 12. Discretionary Refunds
Doxo Digital may, at its sole discretion, issue a full or partial refund in circumstances not otherwise covered above — for example, in cases of demonstrated service failure on our part. This discretion does not create an obligation to provide similar refunds in other cases.
## 13. Limitations and Exceptions
- Refunds are not provided simply because a client changes their mind after work has been completed and delivered.
- This policy does not override any rights a client may have under applicable Canadian consumer protection law, to the extent such laws apply.
- All fees are in Canadian dollars (CAD) unless otherwise stated.
